Archiving Policy

DIGITAL PRESERVATION AND ARCHIVING POLICY

Journal of Business Innovation and Accounting Research (JBIAR)

The Journal of Business Innovation and Accounting Research (JBIAR) is committed to preserving its published scholarly content and maintaining long-term access to the scholarly record.

Digital preservation is an integral part of the journal's publishing policy. JBIAR recognizes that scholarly articles, metadata, corrections, retractions, and other components of the published record should remain accessible even in the event of technical failure, website migration, changes in publishing infrastructure, or permanent discontinuation of the journal.

1. Purpose of Digital Preservation

The purpose of this policy is to ensure that JBIAR's published content remains:

  • authentic;

  • complete;

  • discoverable;

  • retrievable;

  • readable;

  • identifiable through persistent metadata; and

  • accessible over the long term.

Preservation is intended to protect the scholarly record from risks including:

  • server failure;

  • accidental deletion;

  • data corruption;

  • cyber incidents;

  • hardware or software failure;

  • website migration;

  • domain or hosting changes;

  • changes in journal management systems;

  • organizational restructuring; and

  • permanent cessation of journal publication.

2. Scope of Preservation

JBIAR's preservation strategy covers, where applicable:

  • published research articles;

  • review articles;

  • editorials and other scholarly content;

  • article PDFs and other published galley formats;

  • article metadata;

  • abstracts and keywords;

  • author and affiliation metadata;

  • references;

  • DOI information;

  • volume and issue information;

  • copyright and licensing information;

  • supplementary materials;

  • corrections;

  • retraction notices;

  • Expressions of Concern; and

  • other records necessary to preserve the integrity of the scholarly record.

3. OJS-Based Journal Archive

JBIAR uses Open Journal Systems (OJS) as its journal publishing and content-management platform.

Published volumes, issues, articles, and associated bibliographic metadata are maintained through the journal's OJS archive.

The journal seeks to ensure that previously published issues remain publicly accessible through the Archives section of the JBIAR website.

Migration to a new version of OJS, hosting environment, domain, or other technical infrastructure should not result in the intentional loss of previously published scholarly content.

4. Internal Backup and Recovery

As part of its preservation responsibilities, the publisher shall maintain appropriate backup and recovery procedures for the journal's digital publishing infrastructure.

Backups should include, as applicable:

  • the OJS database;

  • article files;

  • uploaded supplementary materials;

  • journal configuration files;

  • metadata;

  • public files;

  • issue records; and

  • other critical publishing data.

Where technically feasible, backup copies should be stored separately from the primary production environment to reduce the risk of simultaneous loss.

Backups should be periodically tested or reviewed to ensure that journal content can be restored when necessary.

Internal backups provide operational protection but are not considered a substitute for an independent long-term preservation network.

5. External Digital Preservation

JBIAR is committed to using an independent long-term digital preservation mechanism in addition to its primary journal website and internal backup arrangements.

Because JBIAR operates through Open Journal Systems, the journal intends to utilize an OJS-compatible preservation infrastructure such as the:

PKP Preservation Network (PKP PN)

The PKP Preservation Network is designed for the long-term preservation of eligible OJS journals and uses distributed digital preservation technology based on the LOCKSS (Lots of Copies Keep Stuff Safe) approach.

Where JBIAR satisfies the applicable technical and eligibility requirements, the journal will activate the PKP Preservation Network plugin, accept the applicable preservation agreement, and deposit eligible published content into the preservation network.

Important Status Statement

JBIAR will state that it is preserved in the PKP Preservation Network only after successful registration, deposit, and preservation status have been verified.

Until that verification is completed, references to PKP PN on the journal website represent the journal's preservation implementation plan and must not be interpreted as a claim of current inclusion.

6. Preservation Through the PKP Preservation Network

Following successful activation and verified participation, eligible JBIAR content may be automatically deposited and preserved through the PKP Preservation Network.

The external preservation system is intended to provide additional protection beyond the journal's own website and server infrastructure.

Preservation through an independent network reduces reliance on a single server, hosting provider, domain, institution, or publisher-controlled storage environment.

Once verified participation is active, JBIAR should update this policy to state clearly:

The Journal of Business Innovation and Accounting Research (JBIAR) is digitally preserved through the PKP Preservation Network (PKP PN), a distributed preservation network based on LOCKSS technology.

This statement must only be displayed after successful preservation status has been confirmed.

7. LOCKSS-Based Distributed Preservation

JBIAR supports the principle of distributed preservation embodied in LOCKSS — Lots of Copies Keep Stuff Safe.

Distributed preservation creates multiple controlled copies of scholarly content so that the survival of the scholarly record does not depend on a single technical location.

LOCKSS-based preservation systems can monitor preserved content, compare distributed copies, detect loss or corruption, and support repair from intact copies within the preservation network.

For OJS-hosted journals, participation in the PKP Preservation Network provides an appropriate mechanism for LOCKSS-based digital preservation when applicable.

JBIAR will not claim independent participation in the Global LOCKSS Network, CLOCKSS, Portico, or another preservation service unless such participation has been formally established and can be independently verified.

8. Trigger Events and Journal Cessation

Digital preservation is particularly important if the journal can no longer provide access to its content through its normal publishing platform.

A trigger event may include circumstances such as:

  • permanent cessation of journal publication;

  • prolonged cessation of content deposits;

  • disappearance of the journal website;

  • failure of the publisher's publishing infrastructure;

  • inability of the publisher to continue providing access; or

  • another event recognized by the applicable preservation service.

Where JBIAR content has been successfully preserved through PKP PN or another verified preservation service, preserved material may be made accessible according to the procedures and trigger-event rules of that preservation service.

The objective is to ensure that the scholarly record remains available even when the original JBIAR publishing platform is no longer operational.

9. Policy in the Event that JBIAR Ceases Publication

If JBIAR permanently ceases publication, the publisher will make reasonable efforts to ensure continued access to articles previously published by the journal.

Where an external preservation service is active, the journal will cooperate with that service in accordance with its preservation agreement and trigger-event procedures.

The publisher should also seek to maintain or transfer, where technically and legally possible:

  • published article files;

  • issue archives;

  • article metadata;

  • DOI metadata;

  • copyright and license information;

  • corrections and retraction records; and

  • other elements necessary to maintain the integrity of the scholarly record.

Ceasing to accept or publish new manuscripts should not by itself result in the deletion of previously published articles.

10. DOI and Persistent Identification

Where a Digital Object Identifier (DOI) has been assigned to a JBIAR article, the journal seeks to maintain accurate DOI metadata and destination information.

If the journal website or URL structure changes, reasonable efforts should be made to update DOI destination URLs so that persistent identifiers continue to resolve to the appropriate scholarly record.

DOI metadata should remain consistent with the official publication record, including:

  • title;

  • author information;

  • publication date;

  • journal title;

  • volume and issue;

  • article URL;

  • copyright information; and

  • applicable license information.

11. Metadata Preservation

Preservation extends beyond article PDFs.

JBIAR seeks to retain and maintain bibliographic and administrative metadata necessary for long-term discovery and identification of published articles.

Preserved metadata should include, where available:

  • article title;

  • authors;

  • affiliations;

  • abstract;

  • keywords;

  • publication date;

  • volume and issue;

  • DOI;

  • references;

  • article identifiers;

  • copyright holder;

  • Creative Commons license information; and

  • post-publication notices.

Metadata corrections should be made transparently and should not unnecessarily disrupt persistent article identification.

12. Preservation of Corrections and Retractions

The integrity of the scholarly record requires preservation not only of original articles but also of subsequent editorial notices.

JBIAR seeks to preserve and maintain permanent links between published articles and related:

  • correction notices;

  • corrigenda;

  • errata;

  • Expressions of Concern;

  • retraction notices; and

  • other relevant post-publication updates.

Retracted articles should not ordinarily disappear from the scholarly archive without explanation.

Where an article is retracted, the original publication record should remain identifiable and clearly linked to the retraction notice, subject to exceptional legal or ethical circumstances.

13. Website or Publisher Migration

If JBIAR moves to:

  • another server;

  • another hosting provider;

  • another domain;

  • a newer OJS installation;

  • another publishing platform; or

  • another publisher,

the migration process should preserve previously published content and metadata.

Reasonable efforts should be made to maintain:

  • article files;

  • archive structure;

  • DOI resolution;

  • article identifiers;

  • redirects from previous URLs where feasible;

  • copyright information;

  • license information;

  • publication dates; and

  • post-publication notices.

Migration must not be used to silently alter the historical scholarly record.

14. Relationship Between Preservation and Open Access

JBIAR's digital preservation policy complements its Open Access Policy.

JBIAR provides immediate open access to published scholarly content and seeks to ensure that this accessibility is sustainable over time.

Open access describes the ability of readers to access and reuse content subject to the applicable license, while digital preservation addresses the long-term survival, authenticity, and recoverability of that content.

Both principles are necessary for a sustainable scholarly journal.

15. Preservation and Licensing

JBIAR articles are published under the journal's stated open-access copyright and licensing policy, including the Creative Commons Attribution-NonCommercial-ShareAlike 4.0 International License (CC BY-NC-SA 4.0) where applicable.

Digital preservation does not transfer copyright ownership away from authors.

Preservation copies are maintained for legitimate scholarly preservation, recovery, and long-term access purposes in accordance with applicable licenses, preservation agreements, and legal requirements.

16. Verification and Transparency

JBIAR is committed to accurately representing its preservation status.

The journal will not claim membership, indexing, deposit, or preservation by:

  • PKP Preservation Network;

  • LOCKSS;

  • CLOCKSS;

  • Portico; or

  • any other digital preservation service

unless the claim is supported by an active and verifiable arrangement.

After successful activation of an external preservation service, the journal should identify the preservation service and update this policy accordingly.

Preservation information should be reviewed periodically to ensure that statements published on the JBIAR website remain accurate.

17. Preservation Responsibility

The publisher and journal management share responsibility for ensuring that reasonable technical and organizational measures are maintained to protect the journal's scholarly content.

Digital Preservation Statement

The Journal of Business Innovation and Accounting Research (JBIAR) is committed to the long-term preservation of its published scholarly content and metadata. JBIAR maintains its journal archive through Open Journal Systems and is implementing an independent distributed preservation strategy. The journal intends to use the PKP Preservation Network (PKP PN), based on LOCKSS technology, subject to successful activation and verification. JBIAR will not claim participation in any external preservation network until that participation has been formally confirmed. If the journal ceases publication, reasonable measures will be taken to ensure continued access to its previously published scholarly record through available preservation and archival mechanisms.
